In a Google Workspace environment, "Resource Calendars" are often used to manage shared resources such as conference rooms, projectors, or company vehicles. Unlike personal or team calendars, resource calendars are not tied to an individual user but represent shared assets within the organization. In this article, we'll go through the step-by-step process for end users to add a resource calendar to their Google Calendar interface.
Note: The ability to create a new resource calendar typically requires administrative access. This guide assumes that the resource calendar has already been created by your organization's Google Workspace administrator.
Log In: Open your web browser and go to the Google Calendar website. Log in with your Google Workspace account credentials.
Find Calendar Section: On the left-hand sidebar, locate the "Other Calendars" section.
Plus Icon: Click the "+" sign next to "Other Calendars."
Browse Resources: Select "Browse resources."
Search and Select: A list of available resource calendars within your organization will be displayed. Search for the specific resource calendar you want to add and select it.
Add: Click the "Add" button. The resource calendar will now appear under the "Other Calendars" section.
Open App: Launch the Google Calendar app on your mobile device.
Menu: Tap the hamburger menu (three horizontal lines) in the top-left corner of the screen.
Settings: Scroll down and select "Settings."
Add Calendar: Choose "Add calendar."
From URL or Workspace: Select "From Workspace" if the option is available.
Browse and Add: Browse the list of resource calendars and tap to add the one you wish to access.
Event Creation: You can now create events directly on the resource calendar by selecting it from the "Calendar" dropdown while creating a new event.
Notifications: Customize your notification settings for the resource calendar to stay updated on any changes or bookings.
Visibility: Depending on your organization's settings, you may be able to share the resource calendar with other team members.
Resource calendars in Google Workspace are an effective way to manage and book shared resources within an organization. Although the creation of new resource calendars usually requires administrative access, adding an existing resource calendar to your Google Calendar is a simple process for end users. Follow the above steps to make sure you can view and interact with your organization's resource calendars easily.
